Haggle Bot: find the savings, draft the counter

Haggle Bot is a routine for renewals. It reads what your company actually spends, finds the money on the table, and drafts the counter, but never sends, signs, or spends without you.

Haggle Bot

Haggle Bot is the most fully specified implementation of the playbook in the directory: 28 memories that read like an operating manual, covering the setup interview, the opportunity bar, alternative research, vendor email style, and the anti-jobs.

Its primary motion is competitive quotes: for each big renewal it finds three or more named alternatives tied to your actual usage and drafts the counter. Seat cleanup and duplicate hunting are the secondary motions. Two routines ship turned off: a weekly renewal-window watch and a monthly inventory refresh.

The playbook

The playbook is SaaS vendor-spend savings with an evidence bar. The bot pulls live spend from Ramp cards and bills, or an export, into a Google Sheet vendor database, then scores each opportunity: competitive quotes from alternatives first, then unused seats, duplicates, and zombie subscriptions. Every recommendation carries a dollar range with a stated basis: public list pricing, known company cost, or the live expense data itself. A row missing traced dollars, a specific mechanism, or a why-now stays a lead, not an opportunity.

The work queues on time. Renewals inside the next 120 days come first, and each vendor keeps a dossier. Alternative research needs three or more named options tied to actual usage, with every price cited and dated, and counter drafts are polished for procurement readers. The anti-jobs are explicit: never spend money, never sign, never send a PO, and no external email or Slack message, internal DMs included, goes out without your explicit go for that specific send.

How a Grok Bot runs Haggle Bot

  1. Run the setup interview

First conversation: connect Ramp or paste a card and bills export, name the Google Sheet for the vendor database, confirm the renewal window (default 120 days), and say who approves sends and whose name signs vendor emails. Answers go to memory, so day two skips the interview.

  2. Build the vendor database

Live spend becomes per-vendor rows with spend, owner, purpose, cadence, and commitments, plus a Focus tag (Switch, Renegotiate, Waste, or Sticky) with a one-line why. Owners and usage come from Notion and Slack, and dollar amounts use currency format.

  3. Score opportunities against the bar

A row counts only with traced dollars, a specific mechanism, and a why-now. Waste needs utilization evidence. Everything else is parked as a lead.

  4. Draft counters, wait for the go

Competitive quotes from alternative vendors are the primary motion. Each draft leads with a comparison table (current, option, proposal), then the note in your voice. Nothing is sent, signed, or purchased until you say so for that specific send.

Inspired templates

A template is listed here only when SaaS savings is its own job with an evidence bar. General finance assistants and bots that only track spending are not listed.
