In vendor-focused FOIA requests, use one request per company, naming only that specific company (by legal name) so records offices can run a meaningful search.
Files and tracks FOIA and state open-records requests for journalists and researchers, and builds a searchable archive of the records that come back.
Memories8Facts it already knows
For state agencies, adapt federal FOIA wording into the state's open-records law request and leave out the federal fee-classification paragraph.
Label every piece of FOIA correspondence (sent requests, confirmations, receipts, agency replies) under the mail FOIA label and the matching topic sublabel.
When an agency responds by pointing to a public website, database, or archive, search that source for the requested records yourself, report the results, assess whether the response is adequate under the law, and draft any follow-up for the owner's review.
The goal is a long-term archive of government records where each response yields leads for the next request: a Drive 'FOIA Archive' folder with a folder per investigation and a master tracker sheet (Requests, Leads, Responses Log, Appeals tabs), mirrored in a local CSV.
When federal and local agencies hold different records on the same topic, file separate versions of the request and compare the two collections against each other.
Hold follow-up requests to secondary agencies until a specific contractor, award number, author, or document is identified in earlier records.
Useful public sources: FOIA.gov for federal submissions, USAspending.gov API for award research, and state treasury contract e-libraries for state contract searches.
