Best Grok Bots for Email and Inbox Work

People searching for a Grok Bot for email usually want one of four things: a quiet filter that surfaces the few messages that matter, a cleaner inbox, protection from scams, or a follow-up tracker. The twelve templates below are the ones we would point each of those people to. This page ranks and compares them. To get one running, follow the playbook Set up a Grok Bot for email triage.

How we picked

We read each template's skills, routines and plugin list in our directory (as of 2026-10-31) and kept only templates that:

  • have a stated mail job and at least one routine or a concrete set of skills;
  • keep sending, deleting and unsubscribing behind your approval, or say plainly when they do not;
  • are active and public, and not thin.

We did not run any of them. Notes describe what the template's own skills and routines say, not our test results. Where a template acts outward on its own (unsubscribing, replying STOP to texts, filing removal requests), the note says so.

We dropped one candidate from the shortlist: Agent Zero files data-broker removal requests by email. That is privacy work, not inbox management, and it does not belong on a "best for email" shelf.

Pick by situation

  • I want one calm list of what needs me, across mail and Slack: Inbox Manager Bot.
  • I want a Gmail or Outlook inbox kept at zero by a schedule: Mail Bot for the careful staging-folder approach, Email Bot for the aggressive hourly archive.
  • I want to try one on demand before scheduling anything: Inbox Zero, which ships no routines.
  • Replies I could write from my own files: Polo.
  • I want the agent to have its own address, not mine: Agent Mail.
  • Scams and phishing worry me: Inbox Guardian.
  • Campaign email and texts are the problem: Political Spam Blocker.
  • A secretary that also does bills, packages and a morning rundown: Andrea Sachs.
  • Where is my money going each month: Subby.
  • I keep dropping promises and unanswered asks: Dropped-Ball Scanner.
  • Mail, Slack, calendar and Notion all feed one to-do ledger: Inbot.

Comparison

Template Apps in its record Rhythm Acts outward without a per-item yes?
Inbox Manager Bot Gmail, Slack Weekday morning and afternoon, starts disabled No: read-only, drafts at most
Mail Bot Gmail, Outlook, Slack Every 3 hours, plus daily and weekly noise routines Weekly unsubscribe roll-up for senders you confirmed
Email Bot None listed Hourly on weekdays Archives; never sends
Inbox Zero Gmail On demand, no routines No
Polo Gmail, Google Drive, Dropbox Every 30 minutes on weekdays No: leaves drafts
Agent Mail AgentMail Every 6 hours, daily digest Auto-archives noise
Inbox Guardian Gmail, Outlook Scan interval you choose, health check every 30 minutes Moves high-confidence scams to spam
Political Spam Blocker Gmail Daily sweep, texts checked every couple of hours Yes: replies STOP, files list removals
Andrea Sachs Gmail, Outlook, Google Calendar Several checks a day, morning briefing Nothing sent as you without okay
Subby Gmail Weekly on Monday No: drafts cancel and refund requests
Dropped-Ball Scanner None listed One evening sweep No: draft cards only
Inbot Gmail, Slack, Notion, Google Calendar Every 15 minutes, hourly on weekdays No listed outward action

Plugin lists are what the directory records for each template. A template that lists no plugin may still ask you to connect Gmail during its first-run chat.

    Inbox Manager Bot

First line of defense on email, Slack, and DMs. Read-only by default — surfaces the 3 that are both important and urgent. Never answers as you. WHO: Inbox Mana…

Why it is on the list

Reads Gmail and Slack and tries to name the roughly three items that are both important and urgent, then posts a short fire board on weekdays, or says nothing. Its skill says never to send and never to answer as you, and its routine ships disabled until you turn it on. It suits someone who already sees the top of the inbox and wants only what they would miss. It will not clean or file anything, so pair it with a cleanup bot if volume is the real problem.

  2. 02

Why it is on the list

The most careful triager here. It works from a staging folder or label, so it never sweeps your old backlog, and it pings one short line per message worth keeping. Gmail and Outlook are listed as plugins, and a webmail variant drives the browser for other providers. Its memory notes say replies are drafts only, and one-time codes are pinged privately without the digits. It has eight routines (three Gmail checks, three webmail checks, a daily noise review, a Monday unsubscribe roll-up), so budget real setup time for folders, VIP senders and schedule. The Monday roll-up unsubscribes from senders you have already confirmed as junk; read that routine before enabling it.

  3. 03
    Email Bot

    Email Bot

    by

Hourly inbox triage for busy people. It archives noise, keeps what needs you, and drafts replies in your voice. It never sends.

    • Memories5

    • Routines1

Why it is on the list

A single hourly weekday routine that keeps only threads needing your reply or an open signature and archives intros, pitches, stale scheduling and portal nags by default. It drafts replies and, per its notes, never sends and never deletes without asking. It suits someone who wants a hard inbox-zero edge and little setup. The risk is the aggressive archive: archived mail is still searchable but out of sight, so check the archive for the first week. Its record lists no plugin, so confirm in the first chat how it reaches your mailbox.

Why it is on the list

Eight on-demand skills (full triage, a ten-task sprint with drafts, reply drafting, unanswered-request finder, deadline extractor, safe cleanup, daily briefing) and no routines. That makes it the best first try: nothing runs until you ask, and it states it will not send or change mail without your approval. It suits someone testing whether a Grok Bot belongs in their inbox at all. It will not watch your mail between chats unless you schedule a routine yourself.

    • Routines1

Why it is on the list

Checks Gmail every 30 minutes on weekdays for questions you could already answer from mail, Google Drive or Dropbox, and leaves a short draft in your mailbox. It suits people who spend their day answering the same questions with the same attachments. Caveats: it needs file access to be useful, so it reads more than just mail, and the 30-minute cadence is a steady usage cost. The draft is your safety net; do not skip reading it before pressing Send.

  6. 06
    Agent Mail

The ultimate template for giving your agent an email. Spin up AgentMail, learn your voice from your outbox, auto-triage the noise, and ping you when something…

    • Memories5
    • Skills8
    • Routines2

Why it is on the list

Instead of using your mailbox, it creates an AgentMail inbox for the agent. It can learn your writing voice from your sent mail (skippable), auto-archives noise every 6 hours, alerts on important messages with a suggested reply, and sends a daily digest. It suits people who would rather forward selected mail to an agent address than grant access to a main account. The trade-offs are an extra third-party service and the fact that it only sees what reaches that address.

  7. 07

Why it is on the list

Scans Gmail or Outlook for phishing and scam mail, checks authentication headers and links, moves high-confidence scams to spam, flags doubtful ones for your review, and warns about attachments it could not scan. The description also names Proton, but the plugin list shows Gmail and Outlook only, so treat Proton as unverified. It has a dashboard, an opt-in weekly breach check and a 30-minute health check that alerts only on failure. It suits anyone whose main fear is a bad click. Moving to spam can hide a real message, so look in spam after setup and treat its verdicts as advice.

  8. 08

Why it is on the list

Targets one kind of mail: political and election email. A daily sweep moves it out of the inbox and flags senders ignoring opt-outs; other skills handle list removals and phone filtering. Flagged as risky behaviour: its routine replies STOP to new political text senders every couple of hours and reports what it sent, so it is the one template here that sends on its own. It suits people tired of campaign season. Check the opt-out and STOP wording before turning the text routine on.

  9. 09

Why it is on the list

A secretary rather than a pure inbox tool: unsubscribe cleanup, package tracking from order emails, bill due dates onto your calendar, drafted replies and a morning briefing. It watches Gmail and Outlook and uses Google Calendar. It suits someone who wants one assistant for the whole day. It writes to your calendar and hands money-related mail to a finance assistant, so decide what it may create without asking. It says it never sends as you without your okay.

    • Routines1

Why it is on the list

Searches mail, including spam, for recurring charges, costs each one per month, per year and over five and ten years, finds overlaps, and prepares cancellation and refund requests as drafts. A Monday routine rechecks for new charges, price rises and open refunds, and stays silent otherwise. It suits anyone who suspects they pay for forgotten services. Caveats: figures come from emails, and the bot says charges with no email can be found only from a statement you share. It never cancels or pays on its own, and this is not financial advice.

  11. 11

Why it is on the list

One evening sweep for asks that got no reply and promises you made with no next step, ranked by harm, at most five items, each with a draft recovery message. A ledger stops it repeating itself and it stays quiet when nothing is new. It suits people who lose threads between mail, chat and texts. It lists no plugins, so the first-run chat decides which sources it can see. Every outgoing message is a draft card, and a yes to one card does not approve the next.

  12. 12

Why it is on the list

Sweeps Gmail, Slack, Notion comments and calendars into a processed to-do ledger every 15 minutes, silent unless something breaks, with an hourly weekday gather. It suits someone whose inboxes are spread across several tools. Caveats: it needs four plugins, and a 15-minute schedule is the sort of short interval x.ai warns can burn usage fast (as of 2026-10-31). Its routines gather rather than summarise, so you will want to ask for the ledger or add a digest of your own.
